Administrative Officer
We are currently responding to the high influx of refugees and migrants through Croatia where we are active in Slavonski Brod registering transit camp.
Centre for peace Osijek in cooperation with Save the Children are looking for an Administrative Officer to be based in Slavonski Brod, with the following experience:
• Applicants must be Croatian nationals, or holders of a work visa and resident’s permit.
• Ability to relocate within the country if required.
• English writing skills, with accurate grammar and spelling.
• Excellent organisational and time management skills with the ability to work under pressure and meet deadlines while maintaining attention to detail.
• Excellent computer literacy, including fast and accurate word processing, good presentation skills
• Excellent verbal communication skills to deal with others tactfully and effectively over the telephone, in writing and in person.
• Demonstrative administrative and general office experience, including knowledge and experience of developing administrative systems, databases and experience of arranging overseas travel.
• A flexible approach to work, an understanding of team working and a willingness to be an active and supportive member of a team working at times under extreme pressure.
• An awareness of the challenges of distance support and cultural differences, and the ability to work in a collaborative and participatory way with colleagues.
• Ability to solve problems and work under own initiative and see tasks through to completion
• A commitment to the aims and objectives of Save the Children.
• Able to carry out the responsibilities of the role in a way which reflects Save the Children’s commitment to safeguarding children in accordance with the Child Safeguarding Policy.
As an Administrative Officer, your responsibilities will include:
Office Administration & effective systems
• Provide administrative support to the Croatian Refugee Response team when needed, ensuring timely and effective communication, keeping all documentation and administration guides, the shared drive and paper filing systems up to date.
• Arrange all accommodation and travel for staff – flights, trains and taxis to and from Slavonski Brod.
• Arranging meetings and assisting in the day-to-day planning of the team’s work.
• Manage staff procurement of SIM card, office essentials and StC branded clothing.
Finance Administration
• To deal with the processing of internal and external invoices for the finance manager.
• Keep up-to-date tracking systems of payments processed, expenses claimed, and purchases
Coordination and information
• Help to organise meetings for the team, including taking minutes and other logistics requirements as necessary.
• To deal with telephone calls for members of the team to ensure effective communication
